When you arrive at the University of Paris-Saclay, the first digital hassle often falls on the messaging system. You have activated your Adonis account, you have a username in the format firstname.lastname, but the URL to type into the browser remains unclear. Zimbra is the webmail client deployed by the university, and the main entry point is located at hermes.universite-paris-saclay.fr. You still need to know which instance pertains to your component, and how to avoid connection errors that waste time at the beginning of the semester.

Central Zimbra instance or laboratory messaging: which URL to use

One point that official guides do not emphasize enough: not all mailboxes at Paris-Saclay go through the same door. The university has centralized access via an institutional portal and a CAS (Central Authentication Service) system, but some entities maintain separate Zimbra instances.

Specifically, a student enrolled in a standard program uses hermes.universite-paris-saclay.fr. A researcher affiliated with a laboratory like IAS may need to go through webmail.ias.u-psud.fr or zimbra.u-psud.fr, using an ADONIS password but a different URL.

Before attempting to connect, you should check which entity you are affiliated with. The most reliable reflex: go through the university’s digital services portal, which redirects to the correct instance based on your profile. If you directly type an old favorite from a previous year, you risk landing on an outdated page or a certificate error.

To better understand how to use Zimbra Upsud messaging, you first need to identify whether your component has migrated to the central instance or if it still maintains its own webmail.

Zimbra Upsud connection: browser, credentials, and common errors

Once the correct URL is identified, the connection follows a simple pattern. You enter your username (firstname.lastname) and the password defined during the activation of the Adonis account. The university recommends Mozilla Firefox for ergonomic reasons and compatibility with the Zimbra interface.

The most common blocks:

  • The Adonis password has expired or has never been activated. You go to the recovery page at adonis.universite-paris-saclay.fr, under “password loss,” providing the personal email declared at registration.
  • The browser displays a blank screen or a broken interface. Clearing the browser cache resolves the issue in most cases. The cache stores outdated files that conflict with the current version of Zimbra.
  • The CAS authentication redirects in a loop. This happens when mixing an old direct link (zimbra.u-psud.fr) with the credentials of the new portal. You start from the institutional portal to force the correct redirection.

A detail that saves time: during the very first activation of the account, the university asks for your date of birth. This is not a formality. It is used to distinguish between namesakes and to secure password recovery.

Accessing Zimbra on mobile: ActiveSync or IMAP

On smartphone or tablet, two protocols allow you to retrieve your Paris-Saclay emails. The choice between the two changes the daily experience.

ActiveSync via Microsoft Exchange

ActiveSync is the mode recommended by the university for mobile devices. It synchronizes emails, contacts, and the Zimbra calendar in real-time. You configure it in the Exchange account settings on your phone, entering the server address (hermes.universite-paris-saclay.fr), your username, and your Adonis password.

The direct advantage: push notifications arrive instantly, without an interval to set. The Zimbra calendar appears in the phone’s native calendar.

IMAP as an alternative

IMAP also works, but the university advises against it on mobile. It only synchronizes emails (not the calendar or contacts), and technical support will be limited in case of issues with this configuration. On a desktop computer with Thunderbird or Outlook, IMAP remains relevant for centralizing multiple mailboxes in a single client.

Feedback varies on this point: some users prefer IMAP because it offers more control over synchronized folders, but most internal guides direct towards ActiveSync for its simplicity on mobile.

Calendar, filters, and email forwarding: Zimbra functions to configure from the start

Zimbra is not limited to sending and receiving emails. Three settings are worth making from the first connection.

The Zimbra calendar allows you to create multiple calendars, share them with colleagues, or access shared calendars. You can access it via the “Calendar” tab in the web interface. For collaborative use in a laboratory or teaching team, it is more reliable than an external calendar because access rights are managed at the university directory level.

Message filters allow you to automatically sort incoming emails by sender, subject, or other criteria. You configure them in the Zimbra preferences. For a student enrolled in multiple UEs with active mailing lists, a filter by list prevents administrative messages from getting lost in the daily flow.

Automatic forwarding to a personal address (Gmail, personal Outlook) is technically possible, but this practice is increasingly discouraged by local policies. The reason: institutional emails containing sensitive information end up on third-party servers not controlled by the university. The recommended alternative is to configure an external mail client via IMAP, which retrieves messages without diverting them from the university server.

Zimbra automatic responder: configure it before an absence

The out-of-office responder is found in the Zimbra preferences, under “Out of Office.” You write a personalized message and set the start and end dates.

Two points not to overlook. The responder sends only one reply per sender during the defined period (no spam in return). And it only works if the mailbox is active on the Zimbra server: if you have redirected all your emails to an external address, the responder will not trigger.

For laboratory staff using a local Zimbra instance, the responder is configured in the same way, but on their own webmail. The two instances do not communicate their absence settings.

The Zimbra messaging system at Paris-Saclay largely meets the needs of a student or researcher, provided you start with the correct URL and take ten minutes to configure the basic settings. The most common pitfall remains the existence of multiple parallel instances, which persists even after the gradual centralization of digital services.
